Upload limits are unforgiving. A job portal wants your resume under 2 MB, a court filing system caps attachments at 5 MB, an email bounces anything over 25 MB. When your PDF is just over the line, you need to bring it down to a specific size, not just "smaller." This guide explains how to do that, what actually controls a PDF's size, and where the honest limits are.
Why PDFs get large in the first place
Most oversized PDFs are heavy for one reason: images. A document that started as a phone photo or a flatbed scan stores every page as a high-resolution picture, and those pixels dominate the file size. Text, fonts, and vector graphics are tiny by comparison. This matters because it tells you what can and cannot shrink. An image-heavy or scanned PDF has a lot of room to compress. A clean, text-only PDF exported from a word processor is already compact, and no tool will squeeze much out of it.

- Password-protected or encrypted PDFs can't be processed. You will need to remove the protection first.

When to reach for something else
If you need to hit a precise byte target and keep real text, compression alone is the wrong lever. Consider trimming the document instead: split out only the pages you need, or remove large embedded images before exporting. If the file is a scan and you need it searchable, run OCR first, then keep it as text rather than flattening it back to images. And if your target is only slightly below the current size, sometimes re-exporting the original from the app that made it, with images downsampled, beats a full re-render.
